Offline Folders & Synchronisation
If you are using Dial-up Networking to work with offline folders from a remote location, you must set up your computer with a modem, a telephone line, and Dial-up Networking software.
1. If you have not already done so, set up Microsoft Outlook on the computer that you want to work with offline. If the question "Do you travel with this computer?" appears when you create your user profile, click Yes.
2. Create an offline folder (.ost) file:
- Click Inbox
- On the Tools menu, click Services.
- In the The following information services are set up in this profile box, click Microsoft Exchange Server.
- Click Properties, and then click the Advanced tab.
- Click Offline Folder File Settings.
- In the File box, type the path to the file you want to use as the offline folder file.
3. If you are not already connected to the network, do so by using a dial-up connection. You can specify a dial-up connection from Outlook.
4. Download the Address Book (On the Tools menu, point to Synchronize, and then click Download Address Book) to your computer. If you will be using the security feature for sealed messages while working offline, be sure you download the Address Book with security details information.
5. Add the public folders you want to work with offline to your Public Folders Favorites folder:
- If the Folder List is not visible, click the View menu, and then click Folder List.
- Click Public Folders, and then click the public folder you want to add as a shortcut to the Favorites folder.
- On the File menu, point to Folder, and then click Add to Public Folder Favorites.
- To change the name of the public folder that appears in your Favorites folder, type a new name in the Favorite folder name box.
- To add shortcuts to subfolders of this public folder, click Options, and then select the options you want.
- Click Add.
6. Specify the folders you want to be available for offline use:
- Click Inbox
- On the Tools menu, click Options, and then click the Mail Services tab.
- Select the Enable offline access check box, and then click the options you want. For Help on an option, click the question mark and then click the option.
- Click Offline Folder Settings.
- Select the folders you want to use offline in addition to your default folders.
- If you want to apply a filter to a specific folder, click the folder and then click Filter Selected Folder.
- If you want to limit the size of messages to download when you synchronize folders, click Download Options, and then click the options that you want.
- Click the Quick Synchronization tab to select folders to synchronize as a group.
- Click OK twice, and then synchronize offline folders.
